Management Request

Suggested Student Status Taxonomy

A registrar-side request to CampusOS engineering: confirm whether the SIS currently supports configurable, granular student statuses — and if not, this is the taxonomy that needs to be added, organized across the enrollment lifecycle.

Every enrolled student needs to sit in exactly one clear status at any given time, and that status needs to drive real system behavior — who can register, who shows up on a graduation list, who counts toward enrollment reporting. This document lays out the status taxonomy the Registrar's office needs CampusOS SIS to support, grouped by where a student sits in the lifecycle: Admissions, Active, Graduate, and Non-Active.

Audience: CampusOS engineering (does the SIS have this today, and if not, what to build) and the CampusOS project manager (scoping this as a feature request).

This isn't just labeling — it's what the registrar's office runs on

A vague or missing status model doesn't just look messy in the SIS — it breaks specific, everyday registrar functions:

  • Registration eligibility. A student in SAP Failure or carrying a Financial Hold has to be blocked from registering without the registrar manually intervening every term.
  • Accreditation reporting. MSCHE's AIU indicators — enrollment FTE, retention rate, graduation rate — are only as accurate as the status data behind them. If "withdrawn" and "on leave" and "dismissed" aren't distinct, tracked states, those numbers can't be trusted or defended in a review.
  • The admissions funnel. Knowing how many applicants are stuck at Pending Signature vs. Pending Payment is the difference between a clean enrollment forecast and a guess.
  • Financial operations. Graduated with a balance is a materially different case from Graduated — transcripts, diplomas, and collections all key off it.
!

This is a live gap, not a hypothetical one. The MSCHE AIU Data Readiness Matrix (tracked internally in CampusOS project management) already flags partial gaps in fields feeding graduation and retention reporting — a clean status taxonomy is a direct fix for part of that gap.

From application to first day of class

StatusMeaning
New ApplicantApplication submitted; admission decision pending.
AdmittedAccepted but not yet enrolled.
Pending SignatureNewly accepted student needs to sign enrollment documentation.
Pending PaymentNewly accepted student needs to pay the enrollment fees.
EnrolledNewly admitted and beginning the first term.
Reentry / ReadmittedReturning after withdrawal or an extended absence.
Cancelled / Never AttendedEnrollment cancelled, or the student did not begin attendance.

Pending Signature and Pending Payment can overlap. A student can owe both at once — worth confirming whether these are sequential gate statuses or independent checklist items that both have to clear before Enrolled.

Currently enrolled, with standing that can vary

StatusMeaning
Active (Good Standing)Currently eligible to register and continue studies — all four SAP components met.
Academic WarningOne SAP component not met: cumulative GPA below 3.0, pace of completion below 67% of attempted credits, projected to exceed 150% of the published program length, or a missed attendance/participation verification. Advising intervention initiated within 5 business days; student may continue enrolled.
SAP FailureThe Warning-period issue was not resolved. Financial aid suspension review and an appeal process begin; the outcome is either a return to Good Standing, Suspended, or Dismissed (see Non-Active).
Financial Hold HoldPlaced on students who are behind on payment.

Corrected against UMF's actual SAP policy (03_UMF-Student-Retention-SAP-SOP.html). The real escalation path is two-tier — Good Standing → Academic Warning → SAP Failure — not the three-tier Warning/Probation/Hold structure in the original draft of this document. "Academic Probation" is not a status UMF actually uses, and "Academic Hold" as previously described (pending SAP appeal) doesn't exist as a separate state — the appeal happens inside SAP Failure itself.

!

Financial Hold probably shouldn't be modeled as a single-value status field. A student can be Active and carry a Financial Hold at the same time — academic standing and payment standing are two different axes. If CampusOS SIS models "status" as one mutually-exclusive value, Financial Hold needs to be a separate boolean/flag layered on top of the primary status, not an additional value in the same enum.

Active → Academic Warning → SAP Failure → (Suspended or Dismissed, see Non-Active) is a real, sequential escalation path per UMF's SAP policy — useful if the SIS needs to enforce valid transitions rather than a free-form status dropdown.

Completing the program

StatusMeaning
Pending GraduationProgram requirements substantially completed and graduation review underway.
GraduatedDegree or credential officially awarded.
Graduated with BalanceDegree or credential officially awarded, but the student has an outstanding balance.

Graduated with Balance looks like a compound state, similar to Financial Hold above: "graduated" (academic fact) plus "has a balance" (financial fact). Modeling it as a financial flag on top of Graduated, rather than a fourth graduation status, would keep it consistent with how Financial Hold is handled above — and avoids the list of graduation statuses growing every time a new financial edge case shows up.

Not currently enrolled, for different reasons

StatusMeaning
WithdrawnOfficially withdrawn from the university — the student initiated and completed the formal withdrawal process.
Stopped-OutStopped attending or engaging without completing the formal withdrawal process — typically surfaced by non-response to communications or a missed attendance verification, pending follow-up before reclassification as Withdrawn or back to Active.
DeceasedUsed for administrative record management.
Leave of Absence (LOA)Temporarily away with an approved leave.
DismissedAcademically or administratively dismissed.
SuspendedTemporarily prohibited from enrollment.

Stopped-Out added after checking the SAP SOP, which tracks "enrollment status (active / withdrawn / stopped-out)" as a distinct weekly data point — UMF already treats an undocumented disappearance differently from a formal withdrawal, and this taxonomy was missing that distinction.

Withdrawn, Stopped-Out, Dismissed, and Suspended all mean "not enrolled" but carry very different implications for whether — and how — a student can come back. LOA and Reentry/Readmitted (Admissions Statuses) are the two ends of the same journey: a student goes on LOA, then eventually re-enters through Reentry, not through New Applicant.

Open questions for CampusOS engineering

  • Does CampusOS SIS have a status field today, and how flexible is it? Confirm whether statuses are hardcoded, or admin-configurable per tenant — the latter is needed since institutions vary in exactly which statuses they use.
  • Primary status vs. hold flags. Financial Hold and (arguably) Graduated with Balance read as flags layered on a primary status, not additional primary statuses themselves. Recommend a single status field plus a separate holds multi-select, rather than growing the status enum indefinitely.
  • SAP escalation as a state machine. Active → Academic Warning → SAP Failure → Suspended/Dismissed is a real, ordered progression per UMF's SAP SOP — worth enforcing as valid transitions rather than a flat dropdown, and worth surfacing the specific SAP component that triggered a Warning (GPA, pace, timeframe, or participation) rather than just the status name.
  • Valid transitions. Not every status should be reachable from every other status (e.g. Deceased shouldn't transition back to Active). Worth defining an allowed state-transition map rather than a free-form dropdown.
  • Reporting rollups. Each status needs a clear mapping to how it counts in MSCHE AIU reporting (enrolled / not enrolled / graduated) so retention and graduation rate calculations stay accurate without manual reclassification.
Request

Confirm current CampusOS SIS status-tracking capability against this taxonomy, and treat any gap as a build item — registrar operations, accurate MSCHE reporting, and clean admissions-funnel tracking all depend on it.

Status update (26 Sep 2026): CampusOS built this taxonomy — 19 statuses, holds as flags, an MSCHE rollup — and ran a dry run against live UMF records (70 Active / 11 Withdrawn, nothing written yet). It's waiting on registrar confirmation before it's saved.
